Clubs Using Scottrade

As you may be aware, Scottrade accounts are being converted to TDAmeritrade accounts soon. We have received several questions about what you need to do to handle this in bivio.

Here is the answer:

You will want to track your TDA transactions in a new account in bivio on the Accounting>Accounts page. You can set it up by following these instructions:

Creating New Accounts

You can enter your TDA login credentials for this account when you get them. You can leave the Scottrade login credentials connected to the old account until they no longer work.

If you have any fractional shares that are sold when your stocks move from one account to the other, the sales will need to be entered in the Scottrade account. No other entries will need to be made for stock transfers.

You will have transfer entries to transfer any cash from one account to the other.

Make sure you also have copies of any statements, realized gain/loss reports and 1099's stored on the Scottrade site.

You may need them to address future cost basis issues and you may not be able to access them once the switch is finalized.

Is it really necessary to establish a new Bivio account to
collect the TD Ameritrade info?

Will the new account affect our IRR calculations?

There is a note on the homepage for my club (Sumner Stock
Selectors Investment Club) that we need to put in a new
Account Sync process. Is that for the current Scottrade
accounting or for the new TD Ameritrade accounting?

I am reading below that there is some misunderstanding about the required Scottrade change as it applies to Bivio Accounting Software.  I do not have Scottrade, we use TD Ameritrade.  But I understand what is necessary inside of Bivio to accomplish the information included in Laurie's email of February 15.

First you must remember that Each Club has a Bivio Club Account for tracking investments, maintaining partner information, reporting results, and making all partner allocations.  Also know that each Bivio Club Account can host Multiple Investment or Bank Accounts that actually hold assets and report transactions.  What I read in the information provided in the help box at the top of your Bivio Club Page -

should walk you through Setting Up a New TD Ameritrade Investment Account inside your existing Club Accounting for your club.  A link in Laurie's February 15 e-mail (listed below) explains setting up a new Investment Account inside Club Accounting.


This explains how to Create your new Broker Account and while in the "create screen", add the new broker login, password, and account number needed for automatic loading of transactions from the new Broker.  The old broker automatic load process should continue uninterrupted.

After creating the New Broker Account, you will have 2 listed on your Accounts Page - the old Scottrade and the new TD Ameritrade account.

Both accounts will work seemlessly inside of your Bivio Club Accounting, Both Accounts will report transactions, until Scott has nothing left, because TD Ameritrade will have it all, and nothing should change regarding Individual Stocks or Holding Periods of the Stocks you own since there should be a broker to broker transfer of your shares at the time of the move.  Laurie did mention that there may be some selloff of partial shares that you need to be aware of since Scottrade and TD Ameritrade may only transfer whole shares.

I would suggest that if this does not help you with your problems, you may want to contact Bivio Support to get additional personal assistance.

Yes. That is what we recommend.

It seems like every year for the past few, we deal with brokerage mergers.

In our experience, it is best in club records to keep transactions made at one broker separate from transactions made at a different one.

In our experience when clubs run into issues resolving problems which go back many years, this makes figuring out where things went wrong much cleaner.

That makes sense if the pre-merger brokerage exists post merger. One can go no longer to the Scottrade website--everything, apparently,was transferred to TDA. There is no way to go back to Scottrade information.

Could you please be so kind as to provide an example of a situation where not segregating the bivio accounts by broker caused a problem. That might help me to understand the logic.

Because many in our club were making automatic deposits into Scottrade, I looked on the transition website.
I found the following information on the Scottrade > TDAmeritrade Transition Hub website. (I added the bold highlighting.)

To update or sign up for direct deposit, provide the TD Ameritrade routing number (021912915) and your TD Ameritrade account number to either your employer or outside bank. There is no action to take within your TD Ameritrade account.

To retrieve your new TD Ameritrade account number, please log in to your account online using your old Scottrade account number and password. Then go to Client services >My Profile> and click on Personal Information.

Remember to continue to use your old Scottrade account number and password to log in to our website.

I looked at our club history and it looks like automatic deposits start coming in around the 9th of the month. Given that the bank needs a few (?) days lead time, my guess is that our members will need the TD Ameritrade account number by the beginning of next week.

The main problems happen when clubs have incorrect entries from the past which need to be addressed.

When transactions from two different brokerages have been mixed in the same account in bivio, it creates confusion trying to figure out which brokerage information is needed to get the details necessary to fix the problem.

This has happened frequently which is why we have made the recommendation we have for handling this merger.

Every Investment Club needs only ONE Bivio account. They're
not suggesting that anyone needs to start another Bivio
account.

Within your investment club's Bivio account, you have the
ability to track multiple Brokerage and/or Bank accounts
under the Accounts tab. So the recommendation for the
Scottrade/Ameritrade merger is to add an additional account
to your list which is a TD Ameritrade account and will use
your Scottrade account number and password. This will then
sync to Ameritrade overnight and populate with your first
set of transactions at Ameritrade, the key piece being any
cash that was moved over. Note that this will not affect
any of your investments, unless you sold or bought something
during the transition. In our case we also had deposits
that were stuck in limbo but eventually showed up at
Ameritrade.

Once the cash shows up, you'll have to address the credit
within Bivio and let it know that the money came from
Scottrade. This should zero out your Scottrade account and
if it doesn't, then that means you have other transactions
to track down. We had one dividend that was not picked up
by Bivio during the transition and a final interest payment
from Scottrade (2 whole cents).

shared the electronic deposit info for Ameritrade.

After setting up TD Ameritrade and having the account sync
happen, I still see a cash balance at Scotttrade that I do
not have access to at the aAmeritrade brokerage when I go to
do a purchase. I don't appear to have access to that cash
balance... only the amount in the Ameritrade account balance
(much less?). What did I do wrong? How can I correct my
account summary if I don't see Scotttrade funds in
Ameritrade? Thanks for any help.

There were probably final transactions in your Scottrade account that will need to be entered manually. Most likely they were dividends received.

You need to find out what they were and then, if they were dividends, enter them using the "Income" button on the Accounting>Investments page. On that page, you'd pick the account they went into. You should pick Scottrade.

That will increase the Scottrade balance. You'll also have a transfer entry when the cash received was moved to TDAmertirade. That will return the Scottrade balance to 0 in bivio.

From what other clubs have told us, you can login to the TDAmeritrade site and get final Scottrade information to find out what the transactions were.
